Search "supplier management software" and you get Coupa, Ariba, and a pile of source-to-pay suites. Fine products. Wrong job if you import finished goods for Amazon FBA or Shopify.
You are not onboarding 8,000 vendors. You are trying to get four answers before the next container is booked:
- What did we order, and what did the factory confirm?
- Which documents belong to this shipment?
- When will the units be sellable, not just "ex-factory"?
- What did each SKU cost after freight, duty, and inbound?
I wrote this for that week. No 15-product review. Just how to tell whether the spreadsheet is still enough, what the software has to do, and which shortlist is worth a trial.
If The Factory Quote Is Not The Margin Number
You buy finished goods from overseas factories or trading companies. You sell on FBA, Shopify, or both. The POs repeat. You already know the factory quote is not the number that hits margin.
Skip the enterprise SRM list if you do not have a procurement department. Those tools solve a real problem. It is rarely yours.

When The Spreadsheet Stops Working
A shared sheet is the right first system. Cheap. Visible. Honest about what you do not know yet.
It holds while one person owns purchasing, you have a handful of SKUs and one or two factories, and freight lands on a predictable schedule. The day you cannot point at "the current file" without asking which version, you are already late.
The usual collapse is not a formula error. The PO lives in email. The ship date lives in WeChat. The commercial invoice is a PDF in Downloads. The freight invoice shows up three weeks later. Shopify and FBA each show a different available quantity. Someone prices the next order on the factory quote.

Sheet version, first freight quote, PO quantity:
- ($12,800 + $2,200 + $1,140 + $860) / 2,000 = $8.50
After the documents are in:
- ($12,800 + $3,050 + $1,140 + $860) / 1,970 = $9.06
Price the listing off $8.50 and every unit is $0.56 light before ads, storage, or returns. On a 2,000-unit cadence that is about $1,100 of missing cost per order. The freight change was in someone's inbox. The shortage was on the packing list. Neither made it into the number used to reorder.
Run the same shipment through the landed cost calculator before you approve the next PO. If you cannot reconstruct the $9.06 from the files you already have, you do not have a supplier system. You have a folder.
What The Software Has To Cover
Ignore the homepage that leads with "AI-powered supplier collaboration." Score the product against the work between "we should reorder" and "this SKU is sellable."
The Purchase Order Is The Record
A useful purchase order is not a PDF you email once. Supplier, SKUs, quantities, agreed cost, Incoterm, promised date, current status, including partials and the revised ship date, have to live on it.
If a date change only exists in chat, the PO is decoration.
Documents Sit On The Order
Commercial invoices, packing lists, bills of lading, freight invoices: same record as the PO. Organizing supplier invoices is the filing version. Software should make that automatic enough that a second person can find the file without asking.
Extraction helps. A human still has to confirm quantity, currency, and which PO the bill belongs to.
Lead Time Is What Actually Happened
Promised production + ocean transit is a plan. Actual lead time is the date the unit became sellable. Production slip, missed cutoffs, customs holds, FBA receiving: they all count.
Model the legs in the lead time calculator, then look at the last three POs. Use that number in the reorder point formula. Not the factory's "25 days."
Landed Cost By SKU And Shipment
Factory price, inbound charges, allocation rule: same record. What landed cost is is the definition. The software test is narrower. Can you open one shipment and see why SKU A cost $9.06 instead of $8.50?
Channel Inventory Is A Hint, Not The PO
Amazon FBA and Shopify do not share a warehouse. Supplier software does not have to replace your inventory app. It does have to stop you from placing a PO against a number that is already reserved, inbound, or sitting in the other channel.
If a tool only syncs available units and cannot show open POs against that SKU, it is inventory software wearing a supplier label.
Messages Next To The Order They Change
Most factories live in WeChat. A portal login will not get used. Keep the thread, or a dated summary of it, on the PO. The WeChat supplier order guide is the communication version of this.
Score The Trial, Not The Demo
Do not buy from a ranked list. Take two or three products. Run the same SKU, the same open PO, the same freight invoice, the same delayed shipment through each one.
Use 0–5. Write down what you saw. Not what the deck claimed.

Weighted score = sum(score × weight).
A 4.2 on an enterprise suite and a 4.0 on an importer tool are not comparable if you cannot implement the 4.2. That last row exists so a 90-day rollout loses to something you can run next week.
Two people should score independently. If you disagree on "document trail," you did not run the same example.
Six Places To Look, Not Fifteen Logos
These are category judgments from how the products are sold and used. Not a lab test of every SKU in the market. Pricing is omitted on purpose. Ask for it against your PO volume. If a vendor will not run the workflow with your documents, treat the claim as unproven.

Ask to see a freight invoice allocated across a mixed container, and a factory date change that is not a stock receipt. A lot of this category is strong after the goods land and thinner before they do.

Amazon Replenishment Tools (SoStocked And Peers) For FBA Timing
FBA inventory math is its own problem. A replenishment tool that knows sales velocity and inbound shipments can prevent the stockout a generic PO app will miss.
Restock alerts are not supplier management. They usually will not read a commercial invoice, hold a WeChat date change, or tell you landed cost after duty. Add Shopify later and you will still need a shared PO and cost record.
Light Manufacturing / MRP (Katana And Peers) If You Kit Or Build
If the "supplier" problem is really "I run out of a component and cannot build," MRP is the right shape. Bills of materials, component purchasing, traceability.
Finished-goods importers do not get much from batch/serial depth they will never use. Test whether a finished-goods PO with ocean freight and a duty bill is a first-class object or an awkward workaround.
Approval Tools (Procurify And Peers) When The Leak Is "Who Signed This?"
Growing teams sometimes lose money on random buying, not late factories. Intake, approvals, a vendor record: that is real supplier management for internal spend.
An approved vendor is not a received shipment. If your losses come from wrong unit cost, an approval workflow will not see them. Score this category low on landed cost and lead-time actuals unless they can show both with your files.

Enterprise Suites (Coupa, SAP Ariba, And Peers) When You Already Have Procurement
This is what most search results mean by "supplier management software." Onboarding portals, risk reviews, spend control. You need a procurement function, an ERP, and a supplier base large enough to justify the project.
Implementation is a project. Product-level landed cost for a 60-SKU FBA catalog is not why these suites exist. A founder with four factories will spend the year configuring a process they do not have.

A One-Week Trial With Your Own Files
Do not use the vendor's sample order.
Pick one high-volume SKU you sell on FBA, Shopify, or both. Take the last closed PO, the commercial invoice, the packing list, the freight invoice, and the duty or brokerage bill. Enter the PO as it was actually placed, including the first promised date. Attach every document. Correct whatever the parser gets wrong. Record the mid-shipment date change if there was one.
Then produce a landed cost per sellable unit and compare it to the number you used to price or reorder. Ask the system what you should do next. Use the lead time calculator as an independent check.
It passes if a second person can reconstruct the shipment without Slack, the landed cost matches the documents (including the freight revision), and the next reorder quantity uses actual lead time.
It fails if you still need the spreadsheet to trust the number, channel stock and open POs disagree and you cannot see why, or the only way to change a ship date is a comment nobody will read.

Do I Need Supplier Software If I Only Have Two Factories?
Not if one person still has the current numbers and the documents are findable. You need it when a date, a file, or a cost regularly lives in a place the PO cannot see. Two messy factories are enough.
